What and who does this Privacy Policy apply to?

This Privacy Policy applies to both individuals and companies who are our registered with GWlegal as an introducer of work, third party associates, B2B customers and those that utilise our online systems (such as GWlive). This also includes any B2B interactions with GWlegal including interactions with GWlegal through any of our online websites (GWlegal, GWlive etc.).

Why do we process your data?

We may process your data for several different purposes:

  • To contact you and keep you up to date on any of our mutual client’s cases/instructions
  • To keep you up to date with the latest, relevant offers/deals we have or industry-based news
  • To administer any membership and/or accounts you have with us
  • To keep you up to date with any relevant GWlegal/GWlive news
  • To collect your feedback to the services we offer you and your clients

Our lawful basis for processing your data

It is in GWlegal’s legitimate business interest to keep you informed of our latest products, deals and services and to in-turn offer our mutual clients the highest level of service.

We process your data (as mentioned above) to market our services to you by phone, direct mail and email, to therefore keep you informed of current offers/deals etc.

We will keep your data safely and securely for as long as necessary and we review the data we hold periodically. If you have not instructed a case for 6 years, in-line with policy, your data will be removed. This also allows us to ensure cases which you have instructed are also up to date for 6 years under The Law Society guidelines. At any point you can request that we cease using your data for marketing purposes, we offer these options within our emails or you can ask when you’re on the phone to us. You can also choose to unsubscribe from emails but still receive calls. Please advise on your preference.

You can expect to receive from us:

  • Regular phones calls from our B2B sales team to see if we can be of any help or to update you on current cases/instructions (such as responding to a request for a quote or an online enquiry)
  • Regular emails to keep you informed of current deals/offers/services we offer
  • Direct mail campaigns from time-to-time to discuss news deals/offers/services
  • Account management calls to check in on how you are getting on
  • To collect your feedback to the services we offer you and your clients

You can manage your preferences and unsubscribe from any or all of these different types of marketing at anytime as mentioned above.

Type of data we collect

When you register with us online or by phone or contact us for a quote or enquiry we may collect all or some of the following:

  • Your name
  • Your job title/role
  • Your email address and contact number
  • Your postal address
  • A password (for GWlive access)
  • The name of the organisation you work for
  • Your companies FCA number (if applicable)

Use of cookies

GWlegal uses cookies and other third-party tracking technologies in our websites and across other websites that help us collect other information about our customers’ and users’ preferences. You can find out more about this using the Cookie Control function on both our GWlegal and GWlive websites.

Recipients of the data we collect

In some cases, we will share the data we collect from you with trusted third-party content providers to support our business. This could be for sending emails through third-party software or to enable the use of our case management.

Our relationships with third party content partners

Any personal data we share with our content partners is shared only the basis that the data will be used by the partner under a lawful basis of legitimate interest and according to the requirements of the GDPR.

Your Rights – Accessing your Information

Under the Data Protection Legislation, you can request a copy of the information GWlegal holds on you and the information can usually be obtained at no cost to you. We will send you this information within 30 days of your request. There are some instances in which information you have requested cannot be sent based on legal reasons. We would discuss this with you in detail.

Your Rights – Updating your Information

If any of the information we hold on you is incorrect, please let us know to enable us to rectify this.

Your Rights – Right to be Forgotten

You can request for us to erase the information we hold on you. We have 30 days in which to do this from the date of your request. We will comply with this request unless we have a lawful reason to keep the information (there could be regulatory requirements for example). If we are unable to erase your information we will discuss this with you in detail and let you know the reason why. We may keep a copy of this request on file.

Your Rights – Right to Object

You have the right to object to us using your information – but this is dependent on the legal basis for which we are using your information. Please get in touch if you wish to discuss this further.

Changes to our Policy

We may from time to time be required to update our privacy policy, therefore it is advisable that you read through the policy when you visit our website. The most up to date version of the policy will be available on this page. If you do not agree to any of the changes made, please refrain from using GWlive and/or GWlegal. If significant changes are made to our privacy policy, we will alert to these changes by a placing a prominent notification on the website.

Data Privacy and Security

At GWlegal, we maintain a key asset register, which includes relevant information of all existing IT systems that hold personal data. Where any concerns, risks or issues are identified, we conduct relevant impact assessments to determine any actions that are necessary to ensure the best possible privacy.

We also maintain an active information security work programme which seeks to protect the availability, confidentiality and integrity of all physical and information assets. Specifically, this helps us to:

  • Protect against potential breaches of confidentiality;
  • Ensure all IT facilities are protected against damage, loss or misuse;
  • Increase awareness and understanding of the responsibility of our employees to protect the confidentiality and integrity of the information that they manage;
  • Ensure the optimum security of our websites using secure SSL certificates to maintain an encrypted connection;
  • Staying ahead of the vulnerability curve by only allowing currently secure encryption negotiation, ensuring clients aren’t subject to data leakage by credential theft;
  • Prevent email fraud using the latest available protocols for email identity validation, protecting our clients from masquerading scammers;
  • Ensuring our network perimeter is protected by industry best technologies, constant assessment of outside-in vulnerability to maintain integrity of our systems

Your Right to Complain

As part of our commitment to high quality service, GWlegal has a rigorous complaints procedure that you can access at any time. Please let us know as soon as possible if you have any problems or you would like a copy of our Complaints Procedure.

In order to make a complaint you should contact our Customer Services Manager, Lauren Roberts on 0345 373 3737, by email Lauren.Roberts@gw.legal or by writing to us. Your complaint will then be dealt with in accordance with our complaint’s procedure, a copy of which is available on request. Please do not store up any complaints, please raise them straight away.

Links to third party websites

We cannot be held responsible for the content and/or processes of third-party websites that you visit as a result of using the GWlegal website and any websites maintained or run by GWlegal including any brands, trading styles etc.

Using your data overseas

In the main we keep your data within the European Economic Area (EEA) but some information could be transferred out. When we do this, we will put certain safeguards in place and vet the companies before using them. Usually this will be for our transactional emails that help further your case – we currently use a company called Mandrill who is not based in the EEA.
